Ghana SME Loan Preparation: Documents, Cash Flow and Readiness Checks

Organise your business evidence, explain the funding need and test whether monthly cash can support repayments before approaching a lender.

Written by F4N4 · Sources checked 24 October 2026 · Fictional examples

Independent preparation guidance. Institutions confirm their requirements. No partnership, financing approval or guaranteed programme access is claimed.

Start with the business and the financing purpose

Write a one-page explanation of your activity, customers, operating location and the next business milestone. Separate equipment, stock, working capital and expansion costs. Show the requested amount, your available contribution and when each payment must be made. A quotation supports a cost estimate; it is not evidence that funding has been approved.

For example, a food distributor might need GHS 120,000 for equipment, GHS 60,000 for additional stock and GHS 20,000 for installation and opening liquidity. That is GHS 200,000 in total. With GHS 50,000 of documented owner funding, the external financing need would be GHS 150,000 before additional lender fees. These are fictional planning figures.

Documents to prepare and reconcile

  • Business registration and ownership information, identification requested by the institution, business address and any relevant operating permits.
  • Financial statements or management accounts, sales and purchase records, existing loan schedules and a monthly cash-flow forecast.
  • Bank statements and mobile-money records used for the business. Reconcile transfers between accounts so the same receipt is not counted twice.
  • Supplier quotations, contracts or purchase orders supporting the financing purpose; evidence of the owner contribution.
  • Tax information and any clearance evidence requested by the lender or programme. Confirm the exact document, period and validity directly.

This is a preparation list, not a universal Ghanaian loan checklist. Ask the selected lender which records it accepts, how much history it needs and whether statements must be audited. A programme template is not necessarily accepted by a different lender.

Understand the cash-flow example

The example below starts with GHS 30,000 cash, monthly customer receipts of GHS 80,000, operating payments of GHS 60,000 and debt payments of GHS 10,000. Closing cash is GHS 40,000. Reducing receipts by 20% gives GHS 24,000 closing cash: the balance remains positive, but the business has consumed GHS 6,000 of its starting reserve.

The GHS 10,000 payment is an independent assumption, not an instalment calculated from the GHS 150,000 funding need. Replace it with an actual repayment schedule. Include taxes, equipment payments, owner drawings and timing differences that are not already in operating payments.

Collateral, terms and programme-specific checks

Ask for the total borrowing cost, repayment dates, security requirements, currency, any grace period and consequences of late payment. Check how guarantees or charges affect assets and guarantors. A monthly surplus does not establish credit eligibility, and an asset valuation does not guarantee a lender will accept it.

For the SME Growth and Opportunity programme, consult the GEA-specific official FAQ and current application instructions. Its published guidance addresses alternatives to audited statements where unavailable; verify the current template and the relevant instrument. Do not infer that applications are open simply because a guidance page is accessible.

Questions before submitting

  • Do the sales records, bank receipts and management accounts agree for the same period?
  • Can the business pay suppliers and debt if receipts arrive one month late?
  • Are the proposed repayments shown alongside existing obligations?
  • Which expenses or imported inputs could rise while prices to customers remain fixed?
  • Who will review the evidence and update the forecast each month?

Use the checklist to find missing preparation work, then open the enterprise assessment. F4N4 does not submit a loan application or determine the lender’s decision.

Test one month’s cash flow in GHS

Editable fictional example. No amounts are stored or transmitted. Closing cash = opening cash + receipts − operating payments − debt payments. Debt payments are entered, not calculated from a loan amount.

This model does not cover multiple months, or fees, tax and FX effects that you have not included. A positive closing balance can still conceal depletion of reserves.
